This Booking, Payment & Cancellation Policy applies to all travel services provided by Touch The Himalaya Treks & Expedition Pvt. Ltd., including bookings made through our associated brands:
By confirming a booking with us, you acknowledge that you have read and accepted this policy.
Your booking is considered confirmed once:
Until these steps are completed, your reservation remains provisional and subject to availability.
To secure your booking, the following deposits generally apply:
Trekking & Nepal Tours : A 10% to 20% deposit of the total trip cost is normally required (based on the trip cost).
Peak Climbing & Expeditions : A 30% to 40% deposit required due to advance logistics and permit arrangements (based on the trip cost).
Tibet Tours: A 40–50% deposit, or full payment depending on permit requirements and government regulations.
Bhutan Tours : Full payment is generally required before travel, as required by Bhutan's tourism policies and partner operators.
For customized or luxury itineraries, different payment schedules may apply and will be clearly communicated before booking.
Unless otherwise agreed in writing:
We accept payments through Bank Transfer (SWIFT), Credit & Debit Cards, Secure Online Payment Gateway, Other approved payment methods agreed upon in advance.
Any bank charges, international transfer fees, currency conversion fees, or payment gateway charges are the responsibility of the traveler unless otherwise stated.
Our prices are based on current costs, including Accommodation, Transportation, Guide and porter services, Government taxes, National Park and Conservation Area permits, Restricted Area Permits, Operational expenses, Exchange rates etc. We reserve the right to revise prices before booking confirmation if significant cost changes occur. Once your booking is confirmed, the agreed price will generally remain unchanged unless government fees, taxes, or permit costs are officially revised.
If you wish to modify your booking after confirmation, we will do our best to accommodate your request. Changes may include Travel dates, Number of participants, Accommodation upgrades, Domestic flights, Additional nights, Trekking itinerary, Transportation arrangements etc., Additional costs may apply if third-party suppliers charge amendment fees. Certain changes may not be possible after permits or airline tickets have been issued.
All cancellation requests must be submitted in writing via email.
The effective cancellation date is the date we receive your written request.
Refunds are calculated after deducting any non-refundable expenses already incurred.
Cancellation charges may apply depending on: Destination, If Permits already issued, Hotel bookings, Airline policies, Government fees, And the timing of cancellation. Certain permits, visa fees, and government charges are non-refundable. Refund processing may take several weeks depending on banks and payment providers.
These percentages serve as general guidelines. Actual deductions may vary depending on supplier policies, permit costs, and booking commitments.
The following expenses are generally non-refundable once processed such as Government permit fees, Tibet Travel Permits, Bhutan visa and tourism fees, National Park entry fees, Restricted Area Permits, Domestic and international flight tickets (subject to airline rules), Hotel reservations with non-refundable conditions, Bank charges, Credit card processing fees, Payment gateway charges, Visa application fees, Courier charges, Travel insurance premiums etc.
Although cancellations by us are rare, We reserve the right to cancel any trip due to unforeseen circumstances such as natural disasters, political instability, or insufficient bookings, Border closures, Government restrictions, Epidemics or pandemics, Safety concerns, Transportation disruptions etc., In such cases, we will offer reasonable alternatives whenever possible such as Alternative travel dates, A substitute itinerary, Credit toward a future trip etc., A refund of recoverable payments after deducting unavoidable third-party costs
NOTE: Trip cancellation and refund policy can be amended also between the clients and the Company’s mutual understanding.
Touch The Himalaya Treks & Expedition Pvt. Ltd. shall not be held liable for losses arising from events beyond our reasonable control, including but not limited to Earthquakes, Avalanches, Floods, Pandemics, Epidemics, War, Terrorism, Civil unrest, Government actions, Airline cancellations, Border closures, Road blockages, Strikes etc.
Additional expenses resulting from such events (such as accommodation, meals, transportation, or rescheduled flights) are the responsibility of the traveler unless covered by travel insurance.
Comprehensive travel insurance is strongly recommended for all travelers and is mandatory for many trekking and adventure activities.

Travelers are responsible for purchasing appropriate insurance before departure.
No refunds will be provided for:
Where a refund is approved, Touch The Himalaya will make reasonable efforts to process it promptly. Refunds are subject to the prevailing laws, regulations, and foreign exchange policies of the Government of Nepal and the Nepal Rastra Bank (Central Bank of Nepal).
As international outward remittances from Nepal are regulated, refunds to overseas customers may be subject to applicable foreign exchange regulations and banking procedures. Where direct international remittance is not permitted, refunds may be processed through the original payment gateway, the original payment method where available, an authorized local representative, or another mutually agreed lawful method.
Any bank charges, payment gateway fees, currency conversion costs, or other financial institution charges associated with the refund shall be deducted from the refundable amount unless otherwise agreed.
The company is not responsible for delays caused by banks, payment service providers, government approvals, or foreign exchange regulations beyond our control.
Travelers are responsible for ensuring they have:
Incorrect passport information or late submission of documents may result in delays, additional costs, or cancellation of permits.
Travel to Tibet and Bhutan is subject to government regulations that may change without prior notice.
Permit approvals, visa procedures, and travel schedules are controlled by the relevant authorities.
Any changes imposed by government agencies are beyond the control of Touch The Himalaya Treks & Expedition Pvt. Ltd.
Some prices are based on minimum group sizes.
If the number of participants changes before departure, the trip cost may be adjusted accordingly.
We will always inform you of any price adjustment before proceeding.
